Summary: The Group Benefits Project Manager provides project management, administrative, and operational support to the Employee Benefits team. This role serves as a central resource for coordinating projects, managing timelines, supporting client deliverables, facilitating carrier and vendor communications, and advancing department initiatives.

The ideal candidate is highly organized, detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment. This individual combines strong project coordination and communication skills with the ability to work independently while contributing to a collaborative, client-focused team.

Essential Duties and Responsibilities:

Project Coordination & Team Support

  • Schedule and coordinate internal and external meetings, presentations, training sessions, and related logistics.
  • Provide administrative and operational support to the account management team.
  • Manage project timelines, action items, internal tracking spreadsheets, and changing deadlines across multiple priorities.
  • Serve as a backup resource for Account Executives and Account Managers during absences or periods of high workload.

Client Deliverables & Implementation Support

  • Support onboarding and implementation activities for new clients as needed.
  • Assist with RFP preparation, proposal development, and coordination of supporting materials.
  • Review presentations and other client-facing materials for accuracy, consistency, and professional quality.
  • Assist with data gathering, analysis, benchmarking, and report preparation.

Carrier, Vendor & Financial Administration

  • Coordinate carrier and vendor meetings, training, communications, and follow-up activities.
  • Audit vendor billing statements and coordinate with internal teams to support accurate and timely billing and payment.
  • Maintain organized project records, documentation, and status updates for internal stakeholders.

Process Improvement & Department Initiatives

  • Identify opportunities to improve workflows, efficiency, communication, and team processes.
  • Participate in departmental initiatives focused on continuous improvement and company growth.
  • Learn and utilize technology tools, databases, and reporting systems that support team operations and client service.

Knowledge, Skills, and/or Abilities:

  • Exceptional organizational, time management, and project coordination skills.
  • Strong written, verbal, and interpersonal communication abilities.
  • Ability to prioritize competing projects and adapt to changing deadlines and business needs.
  • Customer service mindset with a commitment to responsiveness, accuracy, and professionalism.
  • Comfort learning and using technology tools, databases, and reporting systems.
  • Ability to work independently while supporting a collaborative team environment.
  • Advanced proficiency in Microsoft 365 applications, including Excel, Word, PowerPoint, Teams, and Outlook.

Education and/or Experience:

  • Bachelor's degree preferred, or an equivalent combination of education and relevant experience.
  • Experience managing multiple projects, priorities, and deadlines simultaneously.
  • Employee benefits, insurance, human resources, consulting, or related industry experience preferred.

Certificates, Licenses, Registration

  • Florida Health & Life Insurance License preferred and may be obtained after hire.

The base salary range for this position is $53,500.00 – $68,000.00. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location.
