The Business Process Specialist is responsible for analyzing, documenting, modeling, and improving business processes across the organization to enhance operational efficiency, service quality, and organizational effectiveness. This role works closely with the Business Transformation Manager to facilitate process discovery workshops, develop process models using BPMN standards, identify improvement opportunities, and support the implementation of process changes.
The Business Process Specialist will work closely with the business stakeholders to document and improve processes across the entire enterprise. He/ she will serve as a bridge between business units and technology teams, ensuring that business requirements, process documentation, and improvement initiatives are effectively aligned with organizational objectives. While the primary focus of the role is process management and continuous improvement, the position also supports technology-related initiatives by collaborating with IT teams, reviewing system impacts, and helping translate business needs into functional requirements as and when necessary.
The ideal candidate is passionate about understanding how work gets done and helping teams improve it. They are comfortable leading process modeling workshops, documenting workflows using BPMN standards, applying Lean Six Sigma techniques, and partnering with both business and technology teams to deliver sustainable process improvements. They can effectively facilitate conversations, challenge assumptions, and translate ideas into actionable process improvements.
Essential Functions
Business Process Management
- Facilitate process discovery, process mapping, and process improvement workshops with stakeholders across the organization.
- Document current-state and future-state business processes using BPMN (Business Process Model and Notation) standards.
- Maintain and govern process documentation repositories to ensure consistency, accuracy, and accessibility.
- Analyze workflows, procedures, and business operations to identify inefficiencies, bottlenecks, risks, and improvement opportunities.
- Develop process maps, swim lane diagrams, value stream maps, and supporting documentation.
- Assist business units in defining process performance measures and key performance indicators (KPIs).
- Support the development and maintenance of process governance standards, methodologies, and best practices.
Continuous Improvement
- Apply Lean, Six Sigma, and other continuous improvement methodologies to improve business performance.
- Conduct root cause analyses and facilitate problem-solving sessions.
- Recommend process improvements that reduce waste, improve customer experience, enhance compliance, and increase operational effectiveness.
- Support implementation and change management activities associated with process improvement initiatives.
- Monitor and measure the effectiveness of implemented process changes.
Business and Technology Collaboration
- Collaborate with business and IT stakeholders to understand process and system dependencies.
- Analyze how applications and technology solutions support business processes and identify alignment opportunities.
- Participate in software implementation, workflow automation, and digital transformation initiatives as needed.
- Support user acceptance testing (UAT), process validation, and solution adoption activities.
Stakeholder Engagement
- Build collaborative relationships with leaders, subject matter experts, and frontline employees.
- Facilitate workshops, interviews, and cross-functional working sessions to elicit process knowledge and improvement opportunities.
- Present findings, recommendations, and process models to stakeholders at various organizational levels.
- Provide guidance and coaching on process management methodologies and standards (if needed)
Minimum Qualifications
- Bachelor's degree in relevant field
- 1-3 years process mapping/analysis
- Awareness of flowcharts and swimlane diagrams
- Awareness of basic Lean and Six Stigma concepts
- Facilitate SME interviews to document process models
- Able to harvest requirements in documented process
- Process maps, SOPs, workflows
- Analyze workflows and KPIs
- General business operations
