The Receptionist reports directly to the Human Resources Director and serves as the first point of contact for visitors, customers, vendors, and employees. This position is responsible for providing professional front office support, administrative assistance, and exceptional customer service while maintaining an organized and welcoming reception area.

The Receptionist reports directly to the Human Resources Director and serves as the first point of contact for visitors, customers, vendors, and employees. This position is responsible for providing professional front office support, administrative assistance, and exceptional customer service while maintaining an organized and welcoming reception area.
Essential Duties and Responsibilities
The duties and responsibilities of this position include, but are not limited to:
- Answer, screen, and route incoming telephone calls through the company switchboard.
- Greet visitors, customers, vendors, and applicants in a professional and courteous manner.
- Respond to general inquiries regarding the company and direct individuals to the appropriate department.
- Schedule meetings, conference rooms, and appointments as requested.
- Maintain and update appointment calendars.
- Prepare meeting areas, including arranging refreshments, coffee, and food for visitors and customers when required.
- Ensure the reception area remains clean, organized, and presentable at all times.
- Coordinate the flow of incoming and outgoing mail, packages, and deliveries.
- Collect, sort, and distribute mail, parcels, and correspondence.
- Distribute employment applications and provide general information to applicants.
- Issue visitor badges and ensure visitors follow company sign-in procedures.
- Perform filing, data entry, copying, scanning, and other clerical duties as needed.
- Prepare travel vouchers and assist with travel-related documentation.
- Take accurate messages and relay information promptly.
- Schedule follow-up appointments as requested.
- Assist Managers, Supervisors, Human Resources, and other departments with administrative tasks.
- Coordinate general office activities and provide support to ensure efficient office operations.
- Perform other duties and special projects as assigned.
- High School Diploma or equivalent required.
- Previous receptionist, administrative assistant, customer service, or office support experience preferred.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Professional appearance and demeanor.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Ability to work independently and as part of a team.
Requirements
Bilingual Requirement
- Must be bilingual in English and Spanish.
- Ability to communicate effectively, both verbally and in writing, with English-speaking and Spanish-speaking employees, customers, vendors, visitors, and applicants.
- Ability to translate and interpret basic workplace communications when necessary.
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry office supplies and packages up to 20 pounds.
- Ability to use standard office equipment, including computers, telephones, copiers, and printers.
