General Description:
Under the general supervision of the Executive Director of Human Resources, the Human Resources Secretary II is the first point of contact responsible for high-level coordination and support services requiring technical knowledge and experience in performing human resource functions involving discretion and confidentiality. This position performs a wide range of reception and advanced clerical tasks that require considerable independent judgment, decision making, customer service, and significant computer knowledge. Work is reviewed by observation and for results obtained.

Key Responsibilities:

  • Promotes and demonstrates Parrish Healthcare's Culture of Choice®. Serves as first point of contact and provides high performing reception functions and customer service for internal and external customers of the Human Resources department, including advanced reception and clerical tasks; serves as administrative assistant to the department; maintains personnel files assuring 100% compliance with regularly requirements; and performs special projects and reports as requested creating an efficient process and accurate data exchanges.
  • Supports Executive Director of HR's calendar for appointments and any other related needs.
  • Assists with application inquiries by reviewing APS Hire and advising candidates of their applications status.
  • Assists with benefits administration ensuring that records are correct and avoiding any delays in benefits for employees and their dependents. Answers general benefits related questions, to ensure the participants are fully aware of how to best utilize their benefits. Assists with the annual health and wellness fair.
  • Assists HR Specialists, and Director with various projects and filing. Projects will vary in nature and in some cases require research and analysis. There are many metrics within HR; including but not limited to; Scorecard, Game Plan, and other metrics. Starting and manipulating various spreadsheets to ensure data can be produced and metrics for both internal and external customers.
  • Assists with and also leads coordination of employee appreciation and acknowledgment events such as the birthday/anniversary cards mailed to employees; National Hospital Week activities; Pumpkin Carving Contest, Gingerbread Contest, and other events.
  • Processes various invoices for payment ranging from health and welfare, department supplies, recruitment invoices, and many others.
  • Audits and maintains care partner certification/licensure tracking. Inputs event in HRIS Systems for any new or updated certifications/licensure and places copy in their file; sends applicable reminders to care partners regarding expiring certification/licensure aligned with monthly audit.
  • Assists Medical Staff Services, Children's Center and Patient Experience with badges, access, and background checks when applicable.
  • Performs similar or related duties as assigned.
  • Knows fire, disaster and safety procedures and regulations as it pertains to the work area.

Requirements:

Formal Education:
  • High School/GED required.

Work Experience:
  • 2 years to < 3 years professional office experience with at least one year in a Human Resources setting. Healthcare experience is a plus.
  • Healthcare experience a plus
